About CAER
The Centre for Applied Ecological Remediation (CAER) is a nonprofit organization advancing science-based, nature-driven solutions to environmental contamination. We design and implement ecological remediation strategies that restore polluted land and water while building community capacity and workforce pathways.
Our work includes post-fire soil remediation, brownfield pilot projects, applied fungal research, and community-based environmental education. CAER operates at the intersection of research, public agencies, community partners, and environmental justice organizations.
We are in a phase of rapid growth and are strengthening our internal systems to support multiple active grants and field programs.
Position Overview
CAER is seeking a highly organized, detail-oriented Admin & Operations Assistant to support the Executive Director and core team.
This role focuses on administrative coordination, operational systems support, and grant-related logistics. The ideal candidate is proactive, systems-minded, and comfortable working in a small, fast-moving nonprofit environment.
This is a 12-month, part-time position (20 hours/week) with potential for renewal depending on funding and organizational growth.
Key Responsibilities
Administrative Support
Manage scheduling and meeting logistics
Prepare meeting agendas and track action items
Draft and edit professional correspondence
Maintain organized digital filing systems
Operations & Systems Support
Track project deadlines and grant reporting timelines
Maintain internal project management tools (e.g., Google Workspace, Airtable, or similar)
Support onboarding documentation and internal policies
Coordinate contracts, compliance documents, and partner agreements
Financial & Grant Administration Support
Process invoices and reimbursements
Track expenses and maintain documentation for grant reporting
Assist with formatting and compiling grant submissions
Support preparation of grant progress reports
Program & Event Logistics
Coordinate logistics for workshops, trainings, and field events
Manage participant communications and registration tracking
Organize materials and supplies
Communications & Database Management
Maintain stakeholder contact lists
Support newsletters and public communications logistics
Respond to general inquiries and route appropriately
Qualifications
Required:
2+ years of administrative, operations, or nonprofit support experience
Strong organizational skills and attention to detail
Excellent written communication skills
Proficiency in Google Workspace
Ability to manage multiple deadlines independently
Discretion in handling confidential information
Preferred:
Experience with nonprofit grant administration
Familiarity with environmental, research, or community-based organizations
Experience with project management tools or CRM systems
Comfort improving workflows and building systems
Work Structure
20 hours per week
Hybrid role (remote work with occasional in-person meetings in Los Angeles)
Flexible scheduling within standard weekday business hours
12-month term position
Compensation
$30–$35 per hour, commensurate with experience.
This is a part-time, non-exempt position. Sick leave will be accrued in accordance with California law.
